POSITION CONTEXT

Clinic Administrator is part of the Clinical Team of Mawarnkarra Health Service. The Service objective is to provide holistic, primary health care services to the Aboriginal people of the West Pilbara region.

CONDITIONS OF EMPLOYMENT

37.5 hours per week Monday to Friday 8:30am to 4:45pm with 45minutes (unpaid) for lunch daily. You are to be ready for work no later than 8:30am daily.

Other conditions of employment are identified in your contract for employment.

All Mawarnkarra employees are required to comply with all policies in force at the time of commencement of employment and those implemented from time to time.

As part of the orientation program, employees are required to sign declarations and agreement pursuant to policies of the Health Service.

POSITION OBJECTIVE

The Clinic Administrator role is multifaceted, in that this role carries a variety of responsibilities. Assisting Clinical Manager, GPs & clinic administratively. Managing/submitting Medicare billing in a timely manner.

SKILLS, EXPERIENCE AND ATTRIBUTES

· A demonstrated understanding of Medicare billing practices in a primary health care service and a commitment to implementing systems for ongoing quality improvement in billing practices.

· An understanding of the MBS

· Demonstrated capacity to work in a collaborative manner with staff.

· Excellent interpersonal skills.

· Commitment to ongoing participation in education, professional development, evidence based research and quality assurance.

· Understanding the scope of practice and ability to seek help from line manager when required.

· Remain up to date and informed of communications regarding billing and Medicare (such as from Department of Health/Human Services)

DUTIES

1. Medicare responsibilities:

Ø Submission of Medicare claims in a timely manner.

Ø Working with the Clinical Manager and SMO to ensure effective and efficient management to maximise claims under the Practice Incentives Program

Ø In collaboration with relevant staff, improve the billing arrangements of the practice consistent with the rules and regulations governing the arrangements.

Ø Implementing relevant changes to MBS items as updates occur.

Ø Working with the Clinical Manager to identify billing opportunities.

Ø Meet with the Senior Medical Officer and Clinical Manager regularly to review Medicare billing and to seek quality improvement opportunities or as required.

2. IT responsibilities:

Ø Assist staff with clinic IT issues

Ø Email / liaise with IT Support when issues are more complex and cannot be solved on site.

3. Communicare responsibilities:

Ø Assist staff with any issues

Ø Training of new staff

Ø Check back ups

Ø Post clinic data entry; recalls, referrals for all clinic specialists

Ø Other administration tasks to be performed as per Communicare guidelines

Ø Email / liaise with Communicare Support when issues are more complex and cannot be solved on site.

4. Reporting responsibilities:

Ø Daily auditing/submission of Medicare claims.

Ø In collaboration with the Senior Medical Officer & Clinical Manager, develop and implement systems for the collection of accurate data consistent with reporting requirements.

Ø Reporting and reconciliation related to the Practice Incentive Program

Ø To assist in the interpretation of the data collected.

5. Communication:

Ø Ensure that all communications with Medicare are dealt with professionally.

Ø Ensure to liaise with Medicare when further assistance is required.

6. Quality improvement activities:

Ø Promote continual quality improvement in the service.

Ø Ensure all standards are maintained consistent with RACGP and QIC accreditation standards as applicable to the service.

7. Professional responsibilities:

Ø Work in collaboration with the Clinical Manager on all relevant issues.

Ø Work in collaboration with the Clinical Manager on visiting specialists, booking specialist clinics.

Ø Work in collaboration with the Finance Team to ensure efficient and accurate Medicare / PIP income recognition and processing.

Ø Raising of purchase orders for clinical stock, services & Allied Health professionals.

Ø Maintain the highest standards of professional conduct.

Ø Participate in and contribute to the successful outcomes of the organisation.

Ø Participate in research activities within the services as requested and required.

Ø Participate in maintaining a safe working environment.

Ø Assist when required in clinic reception, pats/transport & supervision.

Ø Other reasonable duties as directed by your line manager.

EDUCATION

Attend and participate in the professional development program and relevant external seminars and conferences, as approved.

OTHER RELEVANT INFORMATION

Performance will be appraised on an on-going basis and formally at the first 3 months and annually thereafter.

Consent to undergo a Working With Children Check and a National Police Certificate. Employment is conditional pending the outcome of these checks.

COVID-19 Vaccinated (triple vax as per the WA Government mandate for all health care workers)
